Congratulations on receiving an EMF research grant. The information below outlines the key steps and requirements throughout the life of your grant, from finalising your Funding Agreement through to project reporting, publications and completion.
Please contact the EMF Research Management Team via email to grants@emfoundation.org.au if you have questions about your Funding Agreement, reporting requirements, project expenditure or a proposed variation.
Funding Agreement
EMF will send you a draft Funding Agreement for review and signature.
To finalise the agreement, please:
- Check all details and raise any questions or requested amendments with EMF.
- Arrange for your Research Governance Office to review the agreement and for authorised institutional representatives to sign it.
- Send your ethics approval to EMF.
Once EMF has received the signed agreement and evidence of ethics approval, we will execute the agreement. The project may then commence, and funding will be released.
Project plan and use of funds
EMF funding must be used for the research project and budget approved by EMF.
You must:
- Conduct the project in accordance with the approved project plan.
- Use grant funds only for approved project expenses and before the grant end date.
- Request written approval from EMF before making any changes to the project plan or use of funds.
Progress reports
- Progress reports are due twice yearly, on 22 March and 22 September.
- EMF will contact you when a progress report is required.
- Final reports are due within three months of project end date.
- The final grant payment will be made once EMF has reviewed and accepted the report.
- A signed Certification Document is required for all reports.
Financial reporting
- An Excel template will be provided to report expenditure of EMF funding.
- Please use the same document throughout the grant and upload an updated copy with each progress and final report.
Smarty Grants
- Please complete and submit all reports via SmartyGrants.
Project variations and extensions
You must request and receive EMF approval before:
- Extending the project completion date.
- Changing the approved project plan, methodology or project team.
- Reallocating funds or changing the approved budget.
- Making any other significant change to the project.
Extension requests must be submitted before the current completion date. All other variations must be approved before the change is made.

Publications, presentations and media
EMF must be acknowledged as the funding body in all publications, presentations, media activities and promotional materials arising from your research project. This requirement also applies to larger Australasian or international studies where EMF funds the Queensland component.
Please notify EMF:
- As soon as a peer-reviewed article arising from the project is accepted for publication, and provide the publication details and a copy or link when available.
- In advance of presentations about the research, particularly keynote or invited presentations at major conferences.
- Before undertaking any media or promotional activity relating to the project, including media releases and interviews.
EMF is keen to promote the achievements and impact of the research we fund. Early notification allows us to coordinate promotional opportunities and provide support where appropriate. Please also refer to EMF Acknowledgement guide for more information.

This is why it is vital that emergency care research aimed at improving patient outcomes is funded at both the state and federal level. EMF has a strong track record of funding research in Queensland that makes a difference for patients, often on one of the worst days of their lives.
